Four stages, in order. This is the only place on the site with numbered steps, because this is the only thing on the site that is actually sequential.
The flow
What happens, in what order, and how long each part honestly takes.
We talk about your operation
A call, not a form response. What you run, where you will and will not go, what home time looks like, and what your truck actually costs you to run per mile.
We ask for your cost per mile because we cannot tell a good load from a bad one without it. If you do not know it, we will work it out together — it is the most useful number in your business and a surprising number of carriers have never sat down and calculated it.
We will also tell you honestly if we do not think we can help. Some operations are better off dispatching themselves, and some lanes we are not the right people for.
30 to 45 minutes
We build your carrier packet and get you set up
Authority letter, W-9, certificate of insurance, equipment list, and a notice of assignment if you factor. Then broker setup, one at a time, in their format.
This is the part that stalls new authorities for a week or more when they do it themselves, usually over a certificate of insurance naming the wrong holder or a W-9 whose legal name does not match the authority.
You sign a limited dispatch agreement that lets us negotiate on your behalf. It has no term and you can end it whenever you like.
One to three days, mostly waiting on broker systems
We book, you approve, you drive
We work the boards and our broker contacts, negotiate, and bring you loads with the rate, the miles, the terms, and the reload plan. Nothing gets signed without your yes.
You get the load before it is booked, not after. Rate, origin, destination, appointment windows, detention terms, and what we think the reload out of that market looks like.
Once you accept, we handle the rate confirmation, the broker communication, and the check calls. You drive.
Ongoing, and we plan the week rather than the load
We invoice the day you deliver, and chase it until it pays
Signed BOL and rate confirmation go out to the broker the same day, with any accessorials billed. Anything past terms gets followed up.
Detention, layover, lumper reimbursement, tarp pay, and TONU get invoiced. These are the charges most carriers quietly write off, and they add up to real money over a year.
Our fee is invoiced weekly against the linehaul we booked. You see exactly which loads it was calculated on.
Same day, then as long as the broker takes
What we need from you
- Active MC and USDOT authority in your name.
- Current insurance at the limits brokers require, and your agent’s contact so we can request certificates.
- A W-9 whose legal name matches your authority exactly.
- Your notice of assignment, if you factor. If you do not factor, nothing.
- An honest number for what your truck costs you per mile. If you do not have one, we work it out on the first call.
Plainly
What this is not.
We are not a broker. We do not take possession of your freight, we are not a party to the contract of carriage, and we do not hold a brokerage authority or a surety bond. We act as your agent, under your authority, and we are paid by you.
We are also not your accountant, your attorney, or your insurance agency. We organize paperwork and track deadlines. We do not file your IFTA returns or your taxes, and when something needs a professional we will tell you rather than improvise.
